Datasouth’s Client Engagement Process

Initial engagement is a presentation of Datasouth’s software development capabilities as well as gaining an understanding of the client’s solution requirements. When applicable Datasouth will provide a demonstration of similar solutions we have created.

Datasouth provides two initial non chargeable consultations. These initial observations provide Datasouth with a good understanding of the client’s existing business processes.

After these initial non chargeable consultations Datasouth will provide the client with a proposal. If, however, the scope of the project is such that it is deemed necessary by Datasouth that the client should enter deeper discussion, prior to drafting a proposal, the client will be offered this further consultation at a fixed price. If accepted, Datasouth will engage with the client in order to make sure all business and technical needs are addressed.

In the final part of this phase Datasouth will prepare, submit and present a proposal for consideration. If both parties choose to proceed, a Datasouth project manager engages with the Client “project champion” and enters the next phase of development.

Determining Project Leadership

After our proposal has been presented to, and accepted by the client, Datasouth will assign a Project Manager, responsible for all client facing activities. The Project Manager will establish all working relationships with the client, discuss the client's objectives and set up reporting frequency and format. The Project Manager acts as a mediator between the Datasouth team and the client, allocating all assets required for successful completion of the project as well as maintaining continuous communication with the client.

The team will consist of a team leader and software developers. The team leader is responsible for the planning and distribution of tasks between developers and ensures that the project progresses, meets the project's goals and resolves any organisational and technical problems. The team leader also works closely with the Project Manager, processing a client's requests. Regular reporting and interaction between the project manager and the client helps with timely clarifications of any issues on either side. This also helps maintain the outsourcing quality standards mutually agreed between the two parties.

Datasouth recommends, where appropriate, a single point of contact is established for Datasouth to communicate updates and request information from a client.

We do however realise that the team leader will have a better technical understanding of the solution and will be required to advise the client’s project champion and key stakeholders of specific areas of development progress. In addition, group discussions and conference calls can be facilitated as required.

Datasouth Group Software Manager is included as a point of escalation during the project.
